Privacy Policy
This policy explains what information we hold when you enquire about or use our services, why we hold it, and the choices you have. It covers this website and the financial and administrative support work we carry out for clients.
Information we collect
We collect only what is needed to answer an enquiry or to carry out work that has been agreed. In practice it falls into three groups.
- Details you give us directly, such as your name, the name of your business and the contact details you choose to share when you get in touch.
- Records required to do the work itself, which may include invoices, payroll figures, expense receipts, statements and similar bookkeeping material supplied by you or on your behalf.
- Basic technical information generated whenever a page is requested, such as the type of browser and device making the request.
Why we use it
Information is used to respond to enquiries, to deliver the services agreed with a client, to keep the accurate records that financial and payroll work requires, and to meet obligations placed on us by law. Where we rely on a legitimate interest — keeping a record of correspondence, for example — we weigh that against your interests first.
We do not use your information to build marketing profiles, we do not sell it, and we do not make automated decisions about you.
Who we share it with
Client information is confidential and is not shared outside the engagement except in narrow circumstances:
- with the providers of the software and infrastructure used to carry out the work, who act on our instructions and may not use the information for their own purposes;
- with a client’s own professional advisers, where the client asks us to do so;
- where disclosure is required by law or by a properly authorised request from a public authority.
How long we keep it
Enquiries that do not lead to an engagement are kept only for as long as there is a reason to keep them, and are then deleted. Records connected to work carried out are kept for the duration of the relationship and afterwards for the period that financial and tax record-keeping rules require, after which they are deleted or securely destroyed.
Keeping it secure
Access is limited to the people who need it for the work in hand. Accounts and systems are protected with access controls, and material is transferred and stored using services that support encryption. No system can be guaranteed absolutely secure, but we review both the tools we use and the access granted to them.
Your rights
You can ask us to:
- confirm what information we hold about you and provide a copy of it;
- correct anything inaccurate or incomplete;
- delete information we no longer have a reason to keep;
- restrict or object to a particular use of it;
- provide information you gave us in a portable form.
Some of these rights have limits — we may be required to retain records that financial legislation obliges us to keep. If we cannot act on a request, we will explain why. You are also entitled to complain to the data protection supervisory authority for your country if you are unhappy with how your information has been handled.
Information handled outside your country
Some of the software we rely on may process information in another country. Where that happens we use providers that commit to recognised safeguards for handling personal information across borders.
Changes to this policy
If this policy changes, the revised version is published on this page and the date at the top is updated. Changes that materially affect existing clients are raised with them directly rather than left to be discovered here.
